VO Agents
Agentic automation for the phone calls, invoices, and paperwork that fill your week.
We build small automations that work inside the phone system, inbox, calendar, and billing software you already use. Then we run them with you, and a person on your team stays in charge of every decision that matters.
A service, not another login
VectoredOps already makes software for flight training. VO Agents is a separate line of work with a different shape.
The VO tool
The VectoredOps platform is software that students, instructors, and flight schools sign into. It holds debriefs, study plans, and checkride prep, and your team uses it directly.
VO Agents
A done-with-you service for any small business, flight school or not. We set up automations around the tools you already pay for, keep them running, and change them when your process changes. There is no new app for your staff to learn.
Five places we start
Each one handles a chore that usually lands on whoever is nearest the phone.
Missed-call text-back and lead capture
When a call goes unanswered, the caller gets a text within a minute asking how you can help. Their reply lands in your lead list with a name, number, and the reason they called.
Example
A prospective student phones while every instructor is in the air. They get a text with a link to pick a discovery flight slot on your schedule, and the front desk sees the booking when the airplanes come back.
Review-request automation
After a finished job, the customer gets one short, personal request for a review, sent at a sensible hour. People who already left a review are skipped.
Example
A homeowner gets a note the evening after a furnace repair. At a flight school, a student who soloed that morning gets a congratulations message with a link to your review page.
Invoice and AR follow-up
Polite reminders go out on the schedule you choose, each with a payment link. Any reply that needs a person, such as a dispute or a payment plan request, goes straight to your bookkeeper.
Example
A renter’s account balance passes 30 days and they get a friendly reminder. Flying club members receive dues renewal reminders two weeks before their membership lapses.
Intake and document processing
Forms, IDs, and attachments are read and sorted into draft records. A person on your team approves each item before anything is saved to your system or sent to anyone.
Example
A new student emails a scan of their medical certificate and proof of citizenship. The details fill a draft student file, your office manager checks and approves it, and a renewal reminder is set for the date the medical expires.
Internal SOP and FAQ assistant
Staff ask questions in plain language and get answers drawn only from your own procedures, with a link to the page each answer came from.
Example
A new dispatcher asks how to reschedule a lesson when weather cancels it, or what the fuel reserve rule is for solo cross-countries. The answer quotes your school’s policy manual.
Rough savings estimator
Move the slider and pick the services you are curious about. The figure updates as you go.
Your business
Est. total $ saved per year
$49,500
- Missed-call text-back and lead capture$15,000
- Review-request automation$7,500
- Invoice and AR follow-up$12,000
- Intake and document processing$9,000

Results vary. These figures come from the planning assumptions listed below, not from measured results at your business. Your audit gives you a number based on your own calls, invoices, and paperwork.
Assumptions
These are our own conservative planning estimates. They are not research findings or industry statistics.
- In customer mode, each customer is counted as $1,500 in annual revenue.
- Missed-call text-back recovers about 0.5% of annual revenue from callers who would otherwise have tried a competitor.
- Steady review requests add about 0.25% of annual revenue through new customers who found you by your reviews.
- Automatic invoice reminders save about 0.4% of annual revenue in staff time and balances that would have been written off.
- Pre-sorted intake paperwork saves about 0.3% of annual revenue in office hours, with a person still approving every item.
- An assistant that answers from your own procedures saves about 0.2% of annual revenue in time spent on repeat questions.
- Each line is rounded to the nearest $100.
Results vary. Your own numbers depend on your call volume, how you bill, and how your team works today.
How we work
Three stages. A person at your business approves each one before the next begins.
- 1
Audit
We go through your phone logs, invoices, inbox, and paperwork with you and write up which automations would save the most time first, along with what each one touches.
You approve the plan before we build anything.
- 2
Pilot
We build one automation and run it on a small slice of real work. You see every text it sent and every document it handled, and we adjust the wording and rules with you.
You decide whether the pilot moves to rollout.
- 3
Rollout
We switch it on across the business, show your team how it works, and keep watching it. Changes to wording, timing, or rules go through you.
You sign off on each new automation added after that.
